Zamax Group Ltd respects your privacy and uses personal information only where there is a clear business or legal reason to do so. This notice explains how we handle information submitted through this Website, requested checklist delivery, service and review requests, and enquiries made by telephone or email.

What the Website collects
Depending on the form or service you use, we may collect:
- Your name, email address, telephone number and, for commercial requests, company or organisation details.
- A property or site postcode, address, property or building details, service interests, concerns, timing, availability and the answers you choose to provide.
- The page and form used, the call-to-action label and position, the requested checklist, resource or service, and permitted campaign, UTM and referring-page information where available.
- The privacy acknowledgement and optional marketing choice shown on the form, together with the value selected, time recorded and wording version.
- Operational records needed to handle the request, including checklist-download and requested-email attempts, qualification state, assigned owner, next action and deadline, CRM or fallback-delivery state, and technical receipt, duplicate and idempotency evidence.
Public Website forms do not accept file uploads, payment-card details, bank details, passwords, access codes or unnecessary sensitive information. If photographs or documents would be useful, Zamax will arrange a suitable follow-up route separately.
Our hosting and security systems may process limited technical information needed to deliver and protect the Website, such as an IP address, request time, requested page, browser or device information, and error or security records. We do not use this information to build advertising profiles.
If you contact us directly, we may also receive correspondence and any information or documents you choose to send through the separately agreed contact route.
Why we use personal information
- To provide a checklist or resource you request and to record a requested transactional email-delivery attempt.
- To respond to an enquiry, assess whether a service or review is suitable, and take steps you request before entering a contract.
- To prepare, manage and perform quotations, appointments, work and related customer service.
- To maintain accurate request records, recognise exact duplicates or changed requests, manage follow-up and protect the Website and our business.
- To send optional marketing only where you have made a separate positive choice and the law permits it.
- To keep records and meet tax, accounting, health and safety, insurance, regulatory or other legal obligations.
Depending on the purpose, we rely on steps requested before a contract, performance of a contract, legal obligations, consent for optional marketing, or our legitimate interests in responding to genuine enquiries, operating securely and managing our services. We do not use Website information for solely automated decisions that have legal or similarly significant effects.
How online requests are handled
The Website first records your request in protected storage. An accepted request and a guide-delivery deadline are confirmed only after the request and its linked follow-up task have been saved in Zamax’s customer-management system. If that connection is temporarily unavailable, your request remains safely queued for retry, and the Website does not confirm a guide-delivery time until the follow-up is saved. Internal email alerts contain a reference and a sign-in link, not your contact details.
If you request an available PDF checklist, we provide its download link and record the requested email-delivery attempt. Other guide requests create a follow-up for Zamax to email the selected guide within 24 hours. An attempted email send does not guarantee inbox delivery; failed or uncertain attempts remain visible for follow-up. Requested resource emails are separate from optional marketing. After CRM capture and delivery-status recording are complete, the Website removes its temporary copy of the contact details and retains only the operational receipt and delivery evidence.
The required privacy acknowledgement confirms that you have read this notice and understand how Zamax will use the details to handle the request. Its value, timestamp and wording version are recorded. Optional email marketing uses a separate checkbox that is unticked by default. Leaving it unticked does not affect the checklist, enquiry or service request, and you may withdraw an opt-in at any time.
Who we may share information with
We may share only the information reasonably needed with service providers supporting Website hosting and security, protected form storage, customer-management systems, business email, requested-resource delivery, internal notifications or business administration; professional advisers and insurers; contractors involved in an agreed job; and public bodies where disclosure is required by law. Service providers act under appropriate contractual and confidentiality controls. We do not sell personal information.
Where a service provider processes information outside the United Kingdom, we require an applicable legal transfer mechanism and appropriate safeguards.
How long we keep information
We keep personal information only for as long as it is needed for the stated purpose, security, legal compliance or the establishment, exercise or defence of legal claims. Website security logs are normally retained for no longer than 30 days unless an incident requires longer investigation. Website and direct enquiries that do not become work are reviewed for deletion or minimisation after 12 months of inactivity; this is a review point rather than a promise of automatic deletion. Contract, job, accounting and related records may be retained for up to six years after the relevant relationship or transaction, or longer where the law requires it.
Your rights
Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction, portability, or object to certain uses. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing.
